When water appears near an air handler, ceiling, closet, or drain pan, safety comes first. Once the immediate danger is controlled, a clear photo record and simple timeline can help an HVAC professional trace the source and help you explain what happened to a property manager or insurer.

Water is still spreading? Turn cooling off at the thermostat if it is safe to do so. Keep away from wet electrical fixtures, sagging ceilings, and inaccessible equipment. Call an HVAC professional or emergency service when the situation is unsafe.

Step zero

Control immediate risk before collecting evidence

A complete record is useful, but it is never worth entering a wet attic, touching energized equipment, standing below a bulging ceiling, or delaying emergency help. A condensate drain restriction is only one possible source. A frozen coil, failed pump, cracked pan, loose fitting, roof leak, plumbing leak, or insulation problem can create similar water patterns.

Capture the scene before it changes

Start broad. Photograph the entire room or equipment area, then move closer. The goal is not to prove a theory. It is to preserve what was visible at a specific time. Keep the original files because their timestamps and sequence may be useful later.

  1. Record the time and discovery.
    Write down when you first noticed water, what the A/C was doing, and whether a float switch or thermostat message appeared.
  2. Take a slow video sweep.
    Begin at the doorway, show the whole affected area, then move toward the water path without climbing or opening equipment.
  3. Photograph the boundaries.
    Include dry areas beside the wet area so the size and direction are easier to understand.
  4. Capture active conditions.

  5. Save the first call or message.
    Note who you contacted, when, and what immediate instructions they gave.
Describe what you see, not what you assume. “Water was dripping from the hallway ceiling at 7:40 p.m.” is more useful than “the drain line definitely failed” before diagnosis.
Trace carefully

The stain is not always directly below the source

Water can travel along framing, refrigerant-line insulation, ductwork, wire, or pipe before appearing on a wall or ceiling.   • Include a common object or ruler only when it can be placed without disturbing wet material.
  • Keep each original photo. Make annotated copies instead of drawing over the only version.
  • Photograph model and serial labels only when they are accessible without removing a panel.
  • Capture damaged belongings individually and in the room where they were found.
  • Photograph temporary protection and keep receipts for materials or emergency work.

Connect the discovery, diagnosis, repair, and dry-out

A folder full of unlabeled images is hard to interpret. Put the facts into one timeline and use the same file names or event numbers for the related photos, invoices, and service notes.

Discovery

Date, time, room, weather if relevant, equipment state, first visible water, and immediate safety action.

Diagnosis

Who inspected, what areas were accessible, measurements taken, and the stated source or unresolved possibilities.

Resolution

Work performed, parts replaced, drain route cleared or corrected, dry-out steps, and follow-up date.

What to have ready for an insurance conversation

Turn the incident record into a prevention plan
